Use this checklist to reduce ambiguity before price, stock or delivery expectations are committed.

Explain what the products are for: retail stock, ecommerce, a business fleet, education, project deployment or another commercial use. Context helps distinguish fixed requirements from areas where an alternative may work.
Define the product
Provide the brand and exact model where known. Add storage, memory, colour, connectivity, keyboard, plug, region, bundle and accessory requirements that affect acceptance.
If alternatives are acceptable, state the limits rather than writing “similar”.
Set the quantity
Give the total volume, preferred pack or colour mix and whether partial fulfilment is useful. If the volume depends on price breaks, ask for the relevant quantity options.
State the condition
Do not assume that “stock” means new retail-sealed goods. State whether you require new retail, new bulk, open-box, refurbished or another documented grade. Packaging and accessory requirements should be equally clear.
Confirm the market
Include the destination country and any plug, keyboard, language, SIM, radio, app, warranty or regulatory-market needs. Products with the same family name may not be interchangeable across regions.
Give realistic timing
Share the required delivery date and any flexibility. A sourcing lead time is an estimate until the offer, order acceptance and delivery basis are confirmed.
Compare like with like
When comparing offers, check product, condition, currency, taxes, unit basis, included accessories, warranty source, delivery basis, validity and lead time—not only the headline price.
Confirm before payment
Review the accepted quotation and order documents before sending funds. Independently verify unexpected bank-detail changes through a trusted contact route.
